A version is kept each time an editing session ends - when the last person editing closes the document and its changes finish saving. Because several people can edit together, a version records everyone who took part in that session (teammates by name, invited external collaborators by email) and when it was saved - the history shows "Alice, Bob + 1 more" style credits for co-edited versions. Uploading a file or creating a blank document does not create a version by itself; history starts with the first in-browser editing session.
Open the "..." menu on any document in the Files list and click Version history. You need edit permission on the document to see its history. The newest version is marked Current; a document that has never been edited in the browser shows an empty history.
Click Download next to any version to save a copy of the document exactly as it was at that point. The file name includes the version number - for example, Q3 Report (v3).docx - so copies are easy to tell apart.
Click Restore next to an earlier version to make its content current again. Restoring never deletes anything: if a document is at version 5 and you restore version 2, euro-office creates a new version 6 containing version 2's content, and versions 3 through 5 all stay in the history. Restored versions show a "restored from" badge, so it is always clear where content came from. If you change your mind, restore the version you were on before.
By default each document keeps its most recent 50 versions. Workspace administrators can change this in euro-office Settings under Version history retention - raise or lower the number, or leave the field blank to keep every version. When a document's history grows past the limit, the oldest versions are removed automatically overnight, so a change applies within a day. Retention only trims the history - the document's current content is never affected.
While someone has the document open in the editor, restore is blocked so their work is not overwritten - try again once they finish. If a previous editing session ended abruptly (for example, a closed laptop) and left unsaved recovered changes, euro-office preserves those as a version first, within a few minutes, and then restore becomes available again.
