Downloading and Converting

Published July 07, 2026

Downloading a document

Open the "..." menu on any document in Office and click Download to save a copy in its original format.

Converting to another format

Underneath Download, if the file type supports it, a Download as list shows the formats you can convert to - for example, a Word document can be downloaded as a PDF, an Open Document Format file, or plain text. Click a format and Office converts a copy on the fly and downloads it; the document stored in Office is never changed.

What converts to what

Conversion depends on the source file. Word documents, Open Document Format text files, and plain text files all convert to each other and to PDF. Spreadsheets convert to PDF, Open Document Format, or CSV. Presentations convert to PDF or their Open Document Format equivalent. A PDF downloads only in its original format - there is no conversion option for a PDF.

Downloading several at once

To download more than one item in a single step, select their checkboxes in the Files list, choose Download as zip from the bulk actions above the list, and click Apply to selected. Each file keeps its original format inside the zip.
